About Us:
Ready Set Stay is a dynamic and growing property management company that specialises in short-term rentals. We manage a portfolio of vacation properties on various platforms, including Airbnb, Booking.com, and HomeAway and look after 140 homes in Victoria, Australia. We are looking for a talented and self-motivated Guest Communications Specialist (Remote) to join our team and help us provide exceptional experiences to our guests.

Position Overview:
As a Guest Communications Specialist, you will have a multitasking role, one minute you will play a crucial role in ensuring guests are contacted and that the home is ready for check-in, and the next you will be responsible for managing the guest communications prior to check-in, ensuring the homes are ready, management of the reviews, and at times answering phones. Additionally, you should be familiar with channel managers and have experience with platforms like Booking.com, Airbnb, and HomeAway (Stayz). Your English must be exceptionally good, and your understanding of how to problem-solve must be very high.

The management is in Australia, and we have four staff in Bali, and once a week on Friday, you'll meet with the Balinese team, the other days will be working from home. Eventually after time and training, you'll learn the business, be able to assist our full time staff with their regular day to day tasks and get comfortable with your job scope. The Bali team are lovely, and we want to ensure the team fit is good.

Key Responsibilities:

  • Daily online checks of homes to ensure they are ready, and Checking Cleans with cleaners for the next day
  • Check guests have completed all their paperwork (terms and conditions, guest verification and security bond etc)
  • Contacting all guests via phone upon check-in to welcome them to the property virtually
  • Checking cleaning tasks and photos are satisfactorily completed, and follow-ups via Turno and ticking these off as completed
  • Contact guests who have left negative reviews to reconsider their feedback
  • Guest communication via Channel Manager and Calls
  • Reviews management
  • Once familiar with the business standby for incoming calls on our office line
  • Once familiar with the business, other admin tasks

Guest Experience:

  • Respond promptly to guest inquiries, concerns, and requests.
  • Collect and respond to guest reviews and feedback, aiming to maintain high guest satisfaction.

Channel Management:

Use a channel manager to liaise and communicate with guests, and may need to use multiple platforms, including Booking.com, Airbnb, and HomeAway. Navigate your way around our channel management system

Qualifications:

  • Strong written and verbal English skills
  • Familiarity with channel managers and property management software
  • Experience with online booking platforms, including Booking.com, Airbnb, and HomeAway (VRBO)
  • Excellent communication and customer service skills
  • Ability to multitask in a fast-paced environment
  • Attention to detail and strong organisational skills
  • Ability to work independently and remotely, and with our team at least once a week
  • Flexibility to work outside of traditional business hours as needed.
