The Office Administrative & Sales Support Assistant provides critical support to ensure the smooth day-to-day operations of our office and sales team. You will serve as a central point of contact, handling a variety of administrative, clerical, and communication tasks to assist staff and management.

Job Functions and Accountabilities:

  • Communication and Phone Management: Answer phones, screen calls, and direct inquiries to appropriate personnel. Respond to emails, letters, and other forms of communication in a professional and timely manner.
  • Calendar and Scheduling: Manage calendars for assigned staff members, schedule appointments, and ensure efficient use of time.
  • Travel Arrangements: Book travel (flights, hotels, car rentals) and make logistical arrangements for staff travel, if applicable.
  • Document Management: Create, edit, proofread, and format documents (letters, reports, presentations) using office software. Maintain filing systems (physical and digital) for efficient record keeping.
  • Meetings and Events: Plan and coordinate meetings, conferences, or events, including arranging logistics, preparing materials, and taking minutes.
  • Office Management: Order office supplies, maintain office equipment, and ensure a clean and organized work environment.
  • Sales Support: Assist sales reps with tasks such as preparing quotes, proposals, and sales contracts.
  • Customer Service: Answer phones and emails from customers, address inquiries about products, orders, and deliveries, and provide excellent customer service.
  • Reporting: Generate reports on sales activity, track metrics, and communicate important customer feedback to the sales team.

Experience Qualifications:

  • Minimum of 1-2 years of experience in an administrative or sales support role.
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with CRM software a plus.
  • Ability to work independently and take initiative.
  • Positive attitude and a team-oriented mindset.
  • Strong focus on teamwork and ability to manage relationships across multiple departments.
  • Ability to work accurately, with interruptions, to meet deadlines.
  • Ability to exercise flexibility, initiative, good judgment, and discretion.
